COVID-19 UPDATES

WE’RE IN THIS TOGETHER

The impact of COVID-19 has been unlike anything our industry has ever experienced. We understand that our exhibitors are disappointed in the lost opportunity to connect with attendees and grow their business. AEX Services also feels the impact that COVID-19 has placed on our industry, and we join you during this difficult time in navigating next steps. Rest assured, our promise and deep obligation to you still stands. We will continue to provide consistent event planning, rentals and other services on a statewide basis. Unless it is otherwise mandated, all current bookings will remain. Future planning for the survival of our industry is paramount.

Let us know how we can help strategize rescheduled events or aid in emergency response pop-ups. In the meantime, expect to hear from us. We want to share the latest offerings at AEX Services. We want to send design concepts for you to consider. As event creatives, we believe in the power of utilizing these resources and thinking ahead to a brighter future together. STANDARDS OF CARE

Your safety and health are of the upmost importance to us. As our valued partners and clients, we support you through the unimaginable decisions that are continually made for the protection of our community’s overall health. You are not alone. As we closely monitor this rapidly evolving crisis and the response from our governing bodies, Texas XPO will continue
to add safety precautions for employee readiness as we continue operations.

All team members and union personnel are required to wear face masks when working inside our warehouse or at show site.

Mandatory Face Coverings

Team members are encouraged and expected to respect physical distance when interacting with others, and all exhibitor service centers currently adhere to these guidelines with plexi barriers.

Social Distancing

Daily temperature checks are conducted on all team members and union personnel prior to entering our warehouse or show site.

Temperature Checks

All team members and union personnel are required to follow hand-washing guidelines, and have access to anti-bacterial solutions.

Sanitization

AEX Services displays checklist signage both at the warehouse and at show site, reminding our associates of our Standards of Care.

Signage

All clients are able to opt for “touchless” order forms and payments during show execution.

Contactless Ordering

AEX Services follows the GBAC (Global Biorisk Advisory Council) Guidelines for cleaning. It is our guarantee that all equipment delivered to show site is properly cleaned and sanitized prior to delivery, inclusive of our counters, carpet, drape, tables, table skirting, chairs, etc.

Standard Show-Site Cleaning

Hourly surface cleaning with an electrostatic fog spray and GBAC-approved disinfectant will be offered to show managers for all events at an additional cost.

Additional Cleaning Services

RISK-FREE EXHIBITOR CANCELLATION POLICY

Due to these unprecedented circumstances, AEX Services has temporarily revised our policy to support our customers. This policy will apply to events that cancel prior to AEX Services’ commencement of moving in the event.

100% refunds are offered on standard furniture and accessory rentals, standard carpet & padding, rental  exhibits (non-custom), displays and counters (non-custom), and cleaning services. Custom-cut and plush carpet will be refunded at 70-100% based on the cancellation date.

Custom rental exhibits are refunded 50%-100% based on cancellation date and production status.

Only charge is work performed for labor, material handling and transportation.

Graphics (signage) and custom fabrication are refunded based on level of completion.

All products/services not listed above will be charged per contracted terms.

AEX Services reserves the right to modify this and other policies at any time.

OTHER RESPONSIVE RENTAL SOLUTIONS FOR SHOW MANAGERS

Registration

Units are customizable with directional signage to optimize traffic flow for safety, and can include plexi shields for counter interaction. Bold floor clings can be added to encourage social distancing and feature sponsors.

Entrances/Exits

Two-in-one units are also customizable for easy-to-read directional signage to guide attendees, and can include built-in hand sanitizer stations. Separate traffic flow at event entrances and exits with barriers like plexi shields and stanchions, and add floor clings to reinforce social distancing.

General Sessions

Our designers can create a spatial design with custom clings to mark linenless chair locations for easy reset and cleaning between sessions. Freestanding hand sanitizer stations can be placed throughout with clear or opaque plexi shields for guiding traffic flow.

EXHIBITOR FAQS

How do I cancel my order?

As soon as we are informed of a cancelled event, we begin working through cancelling orders. Clients are emailed a final invoice showing any applicable charges and/or credits.

If I just sent my order, will it be processed, and will my card be charged?

If we have been notified by the event organizer that the event has cancelled, we will not process the order.

When will I get a refund?

If a refund is due, payments made by credit card are refunded immediately. Refunds for other payment types are issued by our accounts receivable department as soon as invoices are finalized.

Will I still be charged material handling for my shipment?

Yes. Material handling charges apply, and are based on where freight was shipped/if it has been taken to show site by the time of cancellation.

I already shipped my freight to the Texas XPO Advance Warehouse for the event. Can you send it back to me?

Yes. With the shipment already in our possession, Texas XPO can easily return freight to clients’ destination of choice. Please email at orders@TexasXPO.com to make these arrangements.

Brad Hutchings

Management professional with over 35 years in the Trade Show industry. Brad enjoys putting the resource, personnel, and equipment together to produce successful events. Brad thrives in a fast paced, multiple project environment working to achieve company goals and production expectations in the most cost-efficient manner. Brad is committed to providing Excellent Customer Service and maintaining company wide cohesiveness. Outside of work Brad loves antique trucks, sports and traveling.

Andre Morton

Andre was born and raised in Houston, TX and has been in the trade show business since 2003. Andre specializes in Exhibit Sales and has worked on several of the largest conventions in the country including CES(Consumer Electronics Show), World of Concrete, RNC (Republican National Convention), OTC (Offshore Technology Conference), and many others. Andre loves watching an event grow from an idea to floorplan, then seeing how it all comes together. Away from work Andre spends time traveling with his son to different baseball tournaments, as well as fishing, hunting, and being outdoors.

Risa Estrada

Risa was born and raised in Houston, Texas, and began her career at the young age of 20. Now with nearly 10 years under her belt, Risa is a trusted asset at Texas XPO. 

Her favorite aspect of the job is seeing an empty hall turn into a show with her hand at play as well as getting to know clients and learning their “why” behind each event.

In her spare time, Risa loves to play tennis, sing and play guitar, and family time.

Jonathan Sterling

Jonathan’s extensive experience and knowledge of trade shows and events makes him a valued, dependable asset to clients. His exceptional attention to detail, strong organizational skills and commitment to the highest level of customer service makes Jonathan a favorite amongst the team, as well.  

Off the show floor, you can catch Jonathan catching waves in at Galveston Beach catching waves and enjoying time with his beloved family.

Trey Payne

Houston-area native, Trey Payne holds 10 years of wide-range event experience from operations and event conception to marketing, production and sales. His passion for events began as a live music enthusiast. Trey began to love the events industry because of the ever-changing environment and the diverse day-to-day challenges. At each event, he likes to pause and admire the blank canvas of an empty space, the completed set-up just before doors open and once again after tear-down. “It feels great to be a part of creating something from nothing,” said Trey.

Prior to his professional career, Trey earned a Bachelor of Music with a concentration in Music Marketing and Guitar Studies from The University of Texas at San Antonio.

After graduation, he joined the school’s full-time team at the University Center, followed by the Henry B Gonzalez Convention Center as an Event Manager. Most recently, Trey served at Freeman as a client development executive, selling and producing events.

Outside of work, Trey enjoys spending time with his wife, two-year-old daughter and ten-year-old dog. His hobbies include playing, designing and building guitars from scratch. If you’re into live music, Trey would love to bond with you over all things acoustic!

Marti McCollough, CMP

Marti brings more than 20 years’ experience to the trade show, meetings and live events industry. Her extensive background as Event Manager at Austin Convention Center and Palmer Events Center as well as Trade Show and Conference Manager at National Instruments, enables Marti to bring a unique and valuable perspective to the planning process.

When the Texas native isn’t event planning, Marti’s enjoying the great outdoors — camping and hiking at all of the beautiful Texas State Parks! She’s also a proud Aggie, so if you ever meet Marti, don’t hesitate to send her a “WHOOP!”

Patrick Perrino

Beloved Founder and President Patrick Perrino extended the AEX brand to Texas in 2003, creating Texas XPO. His 25 years’ industry experience has brought immeasurable value to our staff and clients. 

A voracious reader and writer and self-proclaimed science nerd, Patrick is a wealth of knowledge. He graduated Valedictorian with a B.S. from Hunter College, and continued his education at New York University, where he earned his J.D. Patrick then moved to Austin as an attorney for IBM before taking the helm at the family business.
